Terms and Conditions

The following information outlines important details about your counsellor’s services and our policies. Please take a moment to read through it.

About Your Counsellor

Your counsellor is in training, working towards a recognised qualification in counselling. They are fully insured and adhere to the BACP ethical framework. Their goal is to provide a compassionate and respectful environment where you can work towards your personal goals.

We are pleased to offer grief counselling sessions at a reduced cost while your counsellor is in training. Please be aware that once your counsellor qualifies, they may transition into private practice.

The fee to work with your counsellor is £25

The maximum number of sessions we are able to offer you is 12 sessions, if you would like to extend these please let us know. A decision on this will be made in conjunction with your assigned counsellor by the manager of the counselling service.

We encourage you to discuss any concerns about the duration of your sessions with your counsellor in the first instance.

By agreeing to this service, you acknowledge and accept that your sessions with a counsellor are time-limited and subject to change.

Sessions

Each session lasts 50 minutes. If you arrive late, we can only offer the remaining time of your session. If you know you’re going to be late, please text your counsellor in advance to let them know.

If you need to cancel or reschedule, please inform your counsellor as soon as possible. Sessions cancelled within 24 hours will still be charged.

You have the right to stop attending counselling whenever you feel it’s right. However, it’s often helpful to discuss this with your counsellor to work through any feelings about ending the sessions.

Your counsellor reserves the right to end a session if they believe you are under the influence of drugs or alcohol, or if there is a threat to safety.

Online and Telephone Sessions

For online or telephone counselling, your counsellor will need your full name, address, and phone number for contact purposes, plus an emergency contact name and number.

Payment

Before each session, an invoice will be sent to you. Payment details will be provided at the bottom of the invoice, or you can request a payment link if that’s easier for you.

Please ensure that payments are made within 7 days of receiving your invoice. Sessions may be paused if payment isn’t received on time.

Confidentiality

Your counsellor will maintain strict confidentiality regarding the personal information you share unless there’s a serious risk to your safety, the safety of others, or a legal requirement to disclose information.

To support their work with you, your counsellor has regular supervision sessions where they may discuss your case anonymously. This is standard practice and helps ensure you receive the best care.

Your counsellor may keep brief notes following each session. These notes are confidential and will only be shared with your consent or in cases where the law requires disclosure.

Your GP or other health professionals will not be contacted without your consent unless your counsellor believes you are at serious risk of harm. If you disclose that someone else is at risk, your counsellor may be required to take action if you are unable to.

If you see your counsellor outside of sessions, they won’t approach you unless you indicate you’d like to engage.

Contacting Your Counsellor

We request that you only contact your counsellor in between sessions to change your session or to alert them to a late cancellation or a late arrival. Please email [email protected] with your phone number if you have any queries or concerns in between sessions. Someone will be in touch with you.

Data Privacy

Your personal information (name, contact details, GP information) will be kept for five years, as required by our insurance company. These records are stored securely and will only be accessed if there is a legal or safety concern.

Your session notes will be anonymised and destroyed after five years.

Invoices will only include your full name, and your email address and will be kept in line with HMRC requirements.

Accessing Your Data

You have the right to request access to any personal data we hold about you. We’ll provide it within one month of your request, free of charge.
